
Collect the details of the party at fault
If we know or suspect that the damage has been caused by a third party, we must ensure that we collect all the necessary details so that the distributor can later claim the cost of the repair from the party at fault.
If the party at fault is present and acknowledges their responsibility, we must fill in the damage report and try to get them to sign it. In addition, we must ensure that we take their details correctly:

- Name
- ID No. (DNI)
- Company (if the damage is caused while working on behalf of one)
- Company Tax ID (CIF), if applicable
- Address (of the company if working for one, or private if not).
- Telephone numbers (of the company if working for one, or private if not)
- Place and date of the events
- Email address (if any)
- Registration number of vehicle involved (if any)
Fill in the details of the incident
After taking the details of the party at fault we must write a detailed description of the event and fill in all the information requested in the corresponding programmes.
For this purpose, we must:
- Describe in detail the event and the cause, and be clear with the explanations.
- Check off all the applications that apply:
- Third-party damage
- Neutral incident
- Take all the photos necessary to show evidence of the damage and ensure that it can be seen clearly.
- Check if the damaged asset fulfilled the regulations and note this down.
If the party at fault is uncooperative, is not present or is unknown
If the party at fault is uncooperative…
If the party at fault is uncooperative, we will take all the details we can (registration numbers, name of the company on clothing or vehicles, description of the party at fault, etc.) that may help to identify them.
In any case, if the party at fault displays any form of violence, we will NOT force the situation, we will inform our supervisor so that the corresponding authority can be informed and we will await their arrival at the scene.
We will avoid any risk to physical integrity, leaving the scene if necessary and notifying our supervisor while awaiting instructions.
If the party at fault is not present…
We must look for all information possible, speaking with neighbours and checking if there is construction work or machinery nearby.
If the party at fault is unknown…
If we do not get any information and the party at fault is unknown (but it is clear that it was caused by a third party), we will notify the coordinator so that they can report it to the distributor.
